1. What personal data do we collect & why?
You may voluntarily provide us with personal data either by: providing your contact details during a trade fair or hosted event, completing the ‘Contact Us’ function on our website, or by sending us an email to request information.
We will collect and record:
- Email Address
- Phone Numbers
- Home Address (if not using the Company Address)
- Job Title
- Messages sent and received
- Log time and date received
We will use this data to:
- Process and fulfil any information requested
- Record the data within our customer database for marketing purposes – which will involve sending you targeted advertising, periodic newsletter(s) and inviting you to participate in events, talks or surveys that we believe may be of interest.
- Your personal data may be converted into statistical or aggregated data which cannot be used to identify you and then used to produce statistical research and reports. This aggregated data may be shared and used in the ways described above.
In no case will the data collected be sold or passed on to third parties without the express prior consent of the data subjects.
Marketing Activities – Newsletter with MailChimp
We send our newsletters using MailChimp.
Your data will be transferred to a server of this company, located in Atlanta, Georgia, U.S.A., where it will be stored and processed. MailChimp processes the data on our behalf and in accordance with the provisions set out in the General Data Protection Regulation n° 2016/679.
You can revoke your consent to receiving the newsletter and unsubscribe from the newsletter at any time. You can declare the cancellation by clicking on the link provided in each newsletter e-mail, by e-mail to email@example.com or by sending a message to the contact details stated in the imprint.
We evaluate user behaviour when sending the newsletter. For this evaluation, the emails sent to you include so-called web beacons or tracking pixels that represent one-pixel image files stored on our website. We link the above-mentioned credentials and the web beacons with your e-mail address and an individual ID. With the data obtained in this way, we create a user profiles to tailor the newsletter to your individual interests. In doing so, we record when you read our newsletters, which links you click in and conclude your personal interests. We link this data with actions you have taken on our website.
Marketing Activities – Surveys & Invites with SurveyMonkey
We use SurveyMonkey to prepare surveys and invites where you may be asked to share some limited personal data such as name and email. Your data will be transferred to a server of this company based in the US. SurveyMonkey processes the data on our behalf and in accordance with the provisions set out in the General Data Protection Regulation n° 2016/679.
You can revoke your consent to receiving the invitations to client events or participation in any survey at any time by sending an email to the sender noted in the contact details, or by contacting firstname.lastname@example.org
2. Retention periods
Where we process personal data for marketing purposes, we process the data until we are asked to stop. It typically takes up to 30 days to implement your request. We also keep a record of when Clients or potential Clients have asked us not to send direct marketing or to process their data indefinitely so that we can respect your request in the future.
We keep your personal data as long as there is a statutory or legal requirement to do so or in order to provide the aforementioned services to you.
For accounting or auditing purposes we may retain your personal data for a period of time after our direct business dealings have ended.
3. Data storage and transfer
Our systems are hosted exclusively on our own server systems in Germany in a data center of DNS-Net. The DNS-Net is certified according to “ISO / IEC 27001” and “Trust in Cloud Infrastructure”.
To ensure the protection of your personal data, we have implemented a data protection agreement with this service provider.
Furthermore, we may share your personal data with companies within the JTB Europe and JTB group of companies as well as with other companies who may be located within or outside the EEA in order to fulfil our contracted services. Where a company is located outside the EEA, we have implemented Standard Contract Clauses to oblige the company to use your personal data fairly and legally.
4. Prior consent
Where we require access to your Personal Data that GDPR considers Sensitive, we will seek separate explicit consent from you prior to obtaining that data.
5. Your rights
You also have the right of appeal to the responsible supervisory authority regarding the processing of your personal data.
